Introduction

In bVAT, a tenant represents a separate business or organization. Each tenant has its own:

  • VAT entries and transaction history
  • Business information and settings
  • Reports and analytics
  • User access and permissions
  • Billing and subscription

Creating multiple tenants allows you to manage VAT for multiple businesses from a single account, making it ideal for consultants, accountants, or business owners with multiple ventures.

Step-by-Step Instructions

1
Access Tenant Management
Navigate to the tenant creation interface

Detailed Steps:

  • From your dashboard, look for the tenant selector or organization switcher
  • Click on the "+" or "Create Organization" button
  • Alternatively, navigate to Settings > Tenants (if available)
  • The Create Organization dialog will open

Pro Tips

  • You must be logged in to create a tenant
  • Each user can create multiple tenants for different businesses
2
Enter Organization Details
Provide the basic information for your new tenant

Detailed Steps:

  • Organization Name: Enter the official name of your business or organization
  • Slug: A URL-friendly identifier (auto-generated from name, but can be customized)
  • The slug must be unique and contain only letters, numbers, hyphens, and underscores
  • The system will automatically check if the slug is available as you type

Pro Tips

  • Use your official business name for clarity
  • The slug is used in URLs and must be unique across all tenants
  • You can customize the slug, but keep it simple and memorable
  • Slugs cannot be changed after creation, so choose carefully
3
Verify Slug Availability
Ensure your chosen slug is available

Detailed Steps:

  • The system automatically checks slug availability as you type
  • A green checkmark indicates the slug is available
  • A red X indicates the slug is already taken
  • If unavailable, modify the slug until you find an available one

Pro Tips

  • Try adding a number or suffix if your preferred slug is taken
  • Keep slugs short and descriptive
  • Avoid special characters beyond hyphens and underscores
4

Complete the tenant creation process

Detailed Steps:

  • Review your organization name and slug
  • Click "Create Organization" to proceed
  • The system will create the tenant and set up a 14-day free trial

  • Enter business information (name, address, contact details)
  • Configure VAT registration details if applicable
  • Set up business address and contact information
  • Configure default VAT rates and preferences

Common Use Cases

Multiple Businesses
Manage VAT for multiple separate businesses under one account

Example: A consultant who also runs a separate retail business

Client Management
Accountants and bookkeepers managing VAT for multiple clients

Example: An accounting firm managing VAT returns for 20+ client businesses

Department Separation
Separate VAT tracking for different departments or divisions

Example: A company with separate retail and wholesale divisions

Testing & Development
Create test tenants for training or development purposes

Example: A test tenant for practicing VAT entry creation before using production data

Important Notes

Data Isolation

Each tenant has completely separate data. VAT entries, reports, and settings are isolated between tenants.

User Access

You can invite team members to specific tenants. Each user can have different roles in different tenants.

Billing

Each tenant has its own subscription and billing. You can have different plans for different tenants.

Switching Tenants

Use the tenant selector in the navigation to switch between tenants. Your current tenant context is maintained throughout your session.

Common Issues & Troubleshooting

The slug I want is already taken

Try adding a number, year, or location suffix. For example, if "mybusiness" is taken, try "mybusiness-2024" or "mybusiness-nassau".

I can't see the Create Organization button

Make sure you're logged in. Some account types may have limits on the number of tenants they can create. Contact support if you need to create more tenants.

I created a tenant by mistake

Contact support to have a tenant removed. Note that this action may be irreversible if the tenant contains data.

Can I change the tenant name or slug later?

Tenant names can be changed, but slugs cannot be modified after creation. Choose your slug carefully as it's used in URLs and system references.

How many tenants can I create?

This depends on your subscription plan. Free tier accounts typically have limits. Check your plan details or contact support for information about tenant limits.
